Cold & Flu Season Prep: A Stocking Checklist for Clinics

Respiratory season predictably strains clinic supply rooms, and the practices that sail through it are the ones that stocked up early. This checklist helps clinic managers, urgent care leads, and office administrators prepare before the first wave of patients arrives.

1. Start Planning Before the Rush

The best time to prepare for cold and flu season is before demand and supplier lead times start climbing. Look back at last season's usage to estimate what you will need, and place early orders while stock is plentiful.

  • Pull last year's consumption data for your busiest weeks as a baseline.
  • Factor in any growth in patient volume or new services since then.
  • Order ahead of the seasonal spike, when lead times tend to lengthen.

2. PPE Surge Stock

Respiratory illness drives up PPE consumption quickly. Build a surge buffer so a busy week never leaves staff unprotected.

  • Face masks and respirators for staff and, where appropriate, patients.
  • Exam gloves in every size your team uses, plus isolation gowns and eye protection.
  • Hand sanitizer and surface disinfectant for high-touch areas.

Store surge stock where it is easy to rotate first-in, first-out so nothing expires on the shelf.

3. Testing and Exam Disposables

Diagnosing respiratory illness runs through a long list of single-use items. Keep the disposables that support testing and exams well stocked.

  • Tongue depressors, exam table paper, and disposable thermometer probe covers.
  • Gauze, tissues, and general exam-room consumables that turn over quickly in a busy season.

4. Vaccine Cold Storage Readiness

If you run a flu vaccination program, your cold storage needs to be ready before doses arrive. Confirm your equipment and monitoring are in order early.

  • Verify your vaccine refrigerator has capacity for peak inventory without overcrowding.
  • Check that temperature monitors and data loggers are working and calibrated.
  • Review your storage and handling plan against current CDC/VFC/state requirements.

5. Waiting-Room Infection Control

The waiting room is where illness spreads between patients. A few supplies make infection control easier during the busy months.

  • Mask and sanitizer stations at entrances and check-in.
  • Disinfecting wipes for shared surfaces and frequent cleaning of high-touch points.
  • Tissues and no-touch waste receptacles to support respiratory etiquette.
  • Consider signage and spacing to separate potentially infectious patients.

6. Raise Reorder Par Levels Before the Rush

Everyday par levels that work in the summer will empty too fast at peak. Adjust them upward temporarily so reorders trigger earlier.

  • Raise minimum and reorder points on fast-moving seasonal items.
  • Set clear reorder triggers so staff act before a shelf runs empty.
  • Reset par levels back to baseline once the season winds down.

7. Staff the Supply Plan

A stocking plan only works if someone owns it. Assign clear responsibility so nothing slips during the busiest weeks.

  • Name a person to own inventory checks and reordering, with a backup.
  • Set a regular schedule to count fast-movers and flag shortages.
  • Keep a preferred supplier and a backup source for critical items.
